Set up your business

Sign up with an email and password, then fill in the details that need to sit on every invoice: business name, address, phone, email, and — if you're VAT registered — your VAT number and default rate. Upload a logo (PNG or JPG). Pick a brand colour. This is a one-off; you can change any of it later from the Business tab.

Add your price list

Add the work you charge for and what you charge for it — socket install £90 each, consumer unit change £450, and so on. Ten or twenty items covers most sole traders. You only do this once.

These prices are what Invoi matches your job descriptions against. Add a new one whenever you take on work you haven't priced before.

Describe the job in plain English

Type it, or tap the microphone and dictate: "fitted 2 sockets in the kitchen, moved one in the hallway, replaced 3 lights." Hit Generate.

Invoi reads the description, works out quantities, matches each item to your price list, and builds the invoice. VAT is applied at your default rate. Client name, address, dates, invoice number — all filled in.

Everything on the invoice is editable before you save. Nothing is sent until you're happy with it.

Scan supplier receipts

Snap a photo of a supplier invoice — Screwfix, City Electrical, Toolstation — or upload a PDF. Invoi pulls the supplier name, date, total, and line items. Link it to the job it was bought for.

See the profit on each job

Under Jobs, every invoice shows revenue, materials cost from linked supplier invoices, profit, and margin. If a supplier's price for something you fit regularly has crept up, you'll see the drift at the top of the tab so you can adjust what you charge.
